Privacy

Your information,and what we do with it.

DPC Clinic is the data controller for the information you give us. This explains what we hold, why we hold it, how long we keep it and what you can ask us to do with it. If anything here is unclear, ask us and we will explain it plainly.

What we collect

Your name, date of birth, contact details and address, so we can identify you and reach you about your appointments.

Your medical history, medications, allergies and relevant health information, because several of our treatments are not safe for everyone and we have to know before we treat you.

Consent forms, treatment records and clinical notes, including which treatment was carried out, by whom, and any reaction or complication.

Clinical photographs, where you have consented to them. These are used to plan and review your treatment. Marketing use is a separate consent that you may refuse or withdraw without it affecting your care.

Payment records. We do not store your card details.

Why we hold it

To provide your treatment safely, which is the main reason and the one that covers your health information.

To contact you about appointments, aftercare and anything clinically important.

To meet our legal and insurance obligations, and to defend a claim if one is ever made.

To send you marketing, but only where you have agreed to it, and you can stop that at any time without it affecting your treatment.

How long we keep it

Clinical records are kept for eight years after your last treatment, in line with professional and insurance requirements.

Marketing consent is kept until you withdraw it.

Records are then securely deleted or destroyed.

Who sees it

The practitioner treating you, and our clinic administration.

Our booking and clinical records system, which stores your information securely on our behalf.

Our insurers or legal advisers, if a claim is made.

We do not sell your information to anybody, ever, and we do not share it for anyone else’s marketing.

Your rights

You can ask to see what we hold about you, and we will provide it within one month and without charge.

You can ask us to correct anything that is wrong.

You can withdraw marketing consent at any time.

You can ask us to delete your information, although we may have to keep clinical records for the retention period above.

The enquiry form

If you use the contact form we receive your name, email address, any phone number you give us and your message. We use it to answer you and nothing else. It is not added to a marketing list, and we delete enquiries that do not become appointments after twelve months.

Form submissions are processed by Netlify, who host this website, before reaching our inbox.

Cookies and third party content

We use Google Analytics to understand how the website is used, which pages people find useful and where visitors arrived from. It sets cookies, so we ask before it does. Until you accept, no analytics cookie is placed on your device.

You can change your mind at any time using the Cookie settings link at the bottom of any page. We do not sell or share what we see with advertisers, and nothing we collect here is linked to your clinical records.

Our reviews page loads a review widget from Trustindex, which displays our Google and Facebook ratings. Our online booking system may set cookies necessary for it to work. Both are third parties with their own privacy policies.

Complaints

If you are unhappy with how we have handled your information, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
